Payment Posting Guide

Payment posting should reflect money actually received.

Payment posting is more than entering an ERA. A controlled process connects remittance detail to confirmed deposits and gives the organization a visible path for missing remittances, unidentified deposits, takebacks, credits and unapplied cash.

Confirm the deposit

Verify that funds were received before treating the payment as complete. Retain a traceable connection among the deposit, payer, remittance and posting batch.

Apply remittance detail

Post allowed amounts, payer payments, contractual adjustments, denials, patient responsibility and other adjustments according to documented rules.

Route exceptions

Create defined queues for missing ERAs, unidentified EFTs, paper checks, zero-pay remittances, recoupments, credits and amounts that cannot be posted confidently.

Reconcile totals

Compare posted payments and adjustments with the remittance and bank deposit. Investigate differences before closing the batch.

Protect downstream reporting

Timely and accurate posting prevents A/R teams from pursuing paid accounts and gives leaders a more reliable picture of collections, denials and unresolved balances.
